Managed WhatsApp systems
Need more from WhatsApp?
Custom WhatsApp systems, built and managed around your business.
Qualification. Routing. Follow-up. Integrations. Human handover. Ongoing optimisation.
For businesses that have outgrown basic auto-replies and DIY automation.
This page exists so nobody gets confused. WhatsApp, Webbtex, and your internal tools are connected — but they are not the same bill, same risk, or same responsibility.
The official messaging layer
Your WhatsApp Business number, Meta account, official WhatsApp usage, and business verification sit inside Meta.
The lead system layer
Webbtex handles replies, lead capture, qualification, follow-up logic, hot lead alerts, and the handoff flow.
The sales action layer
Your team receives the summary, calls the buyer, books the appointment, prepares the quote, or closes the sale.
Between Meta’s platform and your team sits the part we own: the assistant, the qualification logic, the routing rules, the follow-up, and the monitoring that catches it when something quietly stops working.
What we take care of
- Hosting and deploymentThe system runs on our infrastructure, not a laptop in your office.
- The assistant itselfPrompting, qualification questions, and the logic behind them.
- MonitoringBroken handoffs and silent failures are ours to notice, not yours.
- Changes as you growNew staff, new services, new routing rules.
This is for teams with real enquiry volume, paid marketing, staff handoffs, branch logic, or tools that need to receive lead data properly. Every build is scoped on a call and quoted as a fixed price before work starts.
Made-For-You can include
- Custom qualification flowQuestions based on your actual sales or booking process.
- Team handoff rulesRoute hot leads to the owner, sales team, booking desk, branch, or department.
- Tool connectionsEmail, Google Sheets, Calendar, CRM, booking flow, or internal workflow.
- Ongoing careMonitoring, fixes, changes, and optimisation as the system learns from real enquiries.
This boundary matters. Webbtex can assist with connecting a WhatsApp number and preparing the lead system, but Meta Business Verification, documents, approval, and account status remain the client’s responsibility.
Use a clean number
The number should not be active on WhatsApp personal, WhatsApp Business app, another Cloud API account, or another WABA.
Meta controls approval
Business verification can involve CIPC documents, business details, account quality, and Meta review timelines.
Not today’s core promise
Webbtex focuses on replies, lead capture, qualification, and handoff. Broadcasts can become a future paid module.
Before anything is built
The part that decides whether this is worth doing.
- Call or WhatsApp usHow enquiries reach you, and where they go cold.
- Map the processWe find where leads leak and where handoff has to happen.
- Written scopeWhat it will do and what it connects to.
- Fixed quoteAgreed before a line of it is built.
After it goes live
The system is not finished at launch; that is when it starts learning.
- Build and connectQualification, follow-up, routing, alerts, and your tools.
- Test on real scenariosWe launch when the flow makes sense to your team.
- Watch the first weeksReal enquiries always reveal something the map missed.
- Tune itQuestions, routing, and follow-up sharpen over time.
Do I pay Meta or Webbtex for WhatsApp usage?
Both, for different things. Meta bills you for WhatsApp conversations and controls approval; that account stays in your name. Webbtex bills for the build and the running of the system on top of it.
What does Webbtex charge for?
The build itself, then monthly care: hosting, the assistant layer, monitoring, support, and workflow changes as the business shifts.
Can I start smaller?
The scope can be smaller — one team, one destination, simpler qualification. What we do not do is a standard package, because a system that does not fit the business does not get used.
When is this not worth it?
If you just need an auto-reply, Meta’s own tools do that at no cost. This is worth building when enquiries are being lost between people, systems, and follow-up.
If WhatsApp is carrying real enquiries, we build the system around your team, tools, and workflow — and we run it. If it is not worth building yet, we will tell you that on the call.
