WhatsApp Automation South Africa: Built and Managed for Your Business

Webbtex builds custom WhatsApp systems for South African businesses that already get enquiries: qualification, routing, follow-up and handover, connected to the tools your team uses and run for you.

Built around your workflow.

01

Where whatsapp automation breaks down

An enquiry reaches Whatsapp Automation from WhatsApp, a website form, advertising, email or social media, but it arrives without the information needed for the next action. Staff ask questions in different ways, forward screenshots without context and assume somebody else owns the reply. Documents or photos remain in separate channels, the responsible person receives an incomplete handover, and follow-up depends on memory. Management cannot see where the request stalled, what was promised or whether the opportunity reached a useful outcome.

  • Enquiries for Whatsapp Automation arrive without enough context for the next action
  • Staff collect different information for similar requests
  • Ownership changes without a recorded handover
  • Documents, photos and customer details are scattered across channels
  • After-hours enquiries wait without a clear next step
  • Follow-up depends on individual memory instead of a visible process
  • Management cannot see where enquiries are getting stuck
02

Situations the workflow must handle

  • A new Whatsapp Automation enquiry contains only a name and a short request
  • A staff member forwards a message but leaves out the information needed to act
  • A quote or booking request needs photos, documents or scope before review
  • An urgent request sits beside routine questions in the same queue
  • Two team members follow up because ownership was never recorded
03

Why an auto-reply is not enough

A greeting can acknowledge a message, but it cannot decide who owns the enquiry, collect the right context for Whatsapp Automation, apply the company rules, prepare a useful handover, connect the request to existing tools, manage multi-step follow-up or show management where work is getting stuck.

A system for whatsapp automation

Webbtex starts with how enquiries reach your business today: which numbers, which adverts, which branches, and who is supposed to answer. From that we design a WhatsApp flow on the official WhatsApp Business Platform that asks each person what they need, where they are and how urgent it is, in plain language rather than a menu of numbered options. Someone asking for a price gets the questions that let you quote. Someone asking for support gets taken to the person who handles it.

Routing is the part most businesses have never had. Each conversation is assigned to a named person or team based on the answers given: branch, product line, area, or whoever is on duty. The staff member sees the enquiry with a short summary on top, replies from their own WhatsApp or from the shared inbox, and the customer never notices a hand-off happened. If nobody responds within the time you set, the system escalates to the next person on the list.

Follow-up runs on the same rules. A lead who asked for a quote and went quiet gets a polite nudge after a day, then another a few days later, written in your voice and stopped the moment they reply. Appointments are confirmed and reminded. Quiet leads are chased before they are forgotten. Everything that happens is written back to the tools you already use: your CRM, a Google Sheet, a calendar, or an internal system through its API.

Once it is live, Webbtex keeps running it. We watch the conversations, fix the questions that confuse people, add branches and staff as you grow, and report on what is coming in and where it goes. You are quoted a once-off build and a monthly fee for care before anything starts, and Meta's conversation charges are billed to you separately, so there are no surprises after launch.

Human handover rule

Automation on a Webbtex build stops the moment a person is better placed to continue. The default rule is simple: once an enquiry has been qualified and the lead has been routed, a named staff member takes over, and the system steps back to reminders and logging. Anyone can also ask for a person at any point and will get one. The automation never pretends to be a human and never argues with someone who wants to speak to one.

The handover carries a written summary: who the person is, what they asked for, where they are, how urgent it is and what was promised so far. The staff member replies in the same chat, so the customer stays in one thread. If the assigned person does not respond within the window you set, the conversation escalates to a manager or the next available colleague, and the escalation is recorded so you can see where response times slip.

What the system may connect

Depending on the workflow, Webbtex can connect the channels and tools required to move information to the right person. Connections are scoped after the current process and technical requirements are confirmed.

  • WhatsApp
  • Website forms
  • Facebook or Instagram enquiries
  • Google Ads landing pages
  • Email
  • CRM
  • Google Calendar or Microsoft 365
  • Spreadsheets
  • Internal dashboards
  • File storage
  • Quoting or booking systems
  • Staff notifications
06

Information and decisions

Information captured

  • Customer name and preferred contact details
  • Service or help required
  • Area or relevant location
  • Urgency and preferred timing
  • Scope, budget or qualification information where appropriate
  • Photos, documents or supporting details where required
  • Source of the enquiry

Decisions made by the workflow

  • Which department or staff member owns the enquiry
  • Whether urgent human escalation is required
  • Whether more information is needed before handover
  • Whether the request is ready for a quote, booking or consultation
  • When follow-up should occur and who is responsible
07

Done-for-you implementation

Webbtex completes the workflow design, configuration and implementation with the client team.

  1. Understand the current process
  2. Identify the leak or bottleneck
  3. Map the desired workflow
  4. Design the rules and handovers
  5. Connect the relevant channels and tools
  6. Test using real enquiry scenarios
  7. Launch with the client team
  8. Review and improve the system
08

Best fit

Webbtex is most useful where the operational cost of a missed, incomplete or badly handed-over enquiry is meaningful.

  • Whatsapp Automation already paying to generate enquiries
  • Teams receiving repeated questions or requests
  • Businesses with several staff members, departments or branches
  • Quotes or bookings that require several pieces of information
  • Operations with manual handovers and weak follow-up visibility
  • Businesses whose current tools do not connect cleanly

Questions about this workflow

What is WhatsApp automation for a South African business?

It is a system that handles enquiries on your WhatsApp number beyond the first reply: it asks qualifying questions, sends each conversation to the right person or branch, follows up leads that go quiet and hands over to staff with a summary. Webbtex builds it on the official WhatsApp Business Platform and runs it for you.

Is this the same as the auto-reply in the WhatsApp Business app?

No. The built-in greeting and away messages answer the first message and stop there. A Webbtex build decides who owns the lead, what happens if nobody replies and what gets written to your CRM. The free app is a good place to start and the point where most businesses outgrow it.

Do we need to buy software or manage anything ourselves?

No. Webbtex builds the system, connects it to your tools and runs it. Your staff reply to customers in WhatsApp as they do now. You do not administer dashboards, flows or integrations.

What does WhatsApp automation cost?

Builds start from R15,000 once-off, with care and optimisation from R2,500 a month. Meta charges for conversations separately and we explain those before anything goes live. The final figure depends on how many flows, branches and integrations you need.

Can it connect to the CRM we already use?

Yes. Most builds write enquiries and outcomes into an existing CRM, a Google Sheet or a calendar, and we have connected internal systems through their APIs. Tell us what your team uses and we will confirm what is possible before quoting.

Will customers know they are talking to a system?

Yes, and that is deliberate. The flow introduces itself as an assistant, keeps questions short and offers a person at every step. Customers tolerate a few quick questions when the result is that the right person calls them back.

How long does a build take?

A single-number build with routing and follow-up is usually live within a few weeks, depending on how quickly we get answers and access to your tools. Multi-branch builds with CRM integration take longer. We agree a timeline before starting.

Can we see it working before we commit?

Yes. Message Webbtex on WhatsApp and you will be taken through the same kind of flow we build for clients. That conversation is the demo.

Next step

Whatsapp Automation should become a controlled workflow, not another message staff must remember.

Show us where enquiries, admin or handovers are breaking down. Webbtex will map the workflow and recommend the system that should be built.
